Setting Up Your MyPhotoClub Trial Site

Thank you for your interest in MyPhotoClub. I’d be happy to set up a trial site for your photography club so you can explore how the platform works and how it can support your members and competitions.

To get started, I’ll need some basic information about your club and how you run your competitions. This will help me configure your trial site with relevant settings and set up a sample competition for testing.

✅ Club Details

Club Name
Approximate number of members
Whether your club uses grades (e.g. A Grade, B Grade, etc.)

✅ Competition Structure

If your club runs regular competitions, please include:

Frequency of competitions (e.g. monthly)
Number of sections per competition (e.g. Open, Nature, Mono, etc.)
A calendar or list of past or upcoming competitions
Number of entries allowed:
- Per member per competition (overall)
- Per member per section
Award structure:
- Name of each award (e.g. Gold, Merit)
- Point value each award contributes to a cumulative score
Image requirements:
- Maximum file size (in megabytes)
- Maximum image dimensions (height and width in pixels)

✅ Visual Assets

Please also attach:

A PNG logo (ideally square or slightly rectangular)
A JPEG front page image, approx. 1024 × 768 pixels, to use on your club’s homepage

Once I receive this information, I will:

Create a custom trial site with your club’s branding and structure
Set up a sample competition based on your criteria

You will then be able to review the setup, confirm its accuracy, and, once approved, use the trial as a template to build your competition calendar for the year.

✅ Trial Period & Billing

The trial site will be available for use for approximately 6 months, with no obligation.

Billing arrangements: The fee per member is billed twice yearly — in April and October — based on your club's active membership.

Panel Judging - Judges view - online Most common method used by public or large competitions, where more than judge assigns a numeric score against each entry.

How to move an entry between sections You can move an entry easily. If done after finalising or publishing then catalogs, presentations etc will need to requested again. NOTE: do not move an entry during scoring or judging. Do the move before or after these activities.

Sending emails to previous entrants. For Competition Sites - You can create a post on the home page of the website and then send this post as an email to all previous entrants.

How to duplicate a collection The way to create a new competition collection is to duplicate and existing collection.

Pointscore Management Once the collections for a competition year are in place pointscore groups can be set up. The pointscore group is then auto-populated with results as each collection is published.

Panel Judging - assigning judges Once a group of judges are arranged they can be nominated and assigned.

Club Group Scoring - online All club members, or all members of grade within the club can be assigned to online score a collection.

Panel Judging - live All judges use a phone or tablet to record scores as the image or print is presented to them.

Panel Judging - Results When all judges have completed scoring all entries and the scoring is closed, the awards and if required acceptance scores can be set.

Panel Judging - Additional Scoring Rounds After the initial scoring round is completed there may be a need to breakdown a score to obtain a particular acceptance rate.
